CRITICAL HIVE Scheduling & impact

Chase less. Book faster. Prove what changed.

A coordinator that politely reminds candidates who have not finished, lets the ones you want to meet book a time themselves, and an impact dashboard that shows your real numbers and labels its estimates. It is automation you control, and a person still decides.

  • Reminders off until you switch them on
  • Calendar invites for both sides
  • Estimates clearly labelled
  • Not AI, and not hidden

COORDINATOR PREVIEW · ILLUSTRATIVE

  • First reminder: not started 48 hours after the invitation. Scheduled for 10:15 am
  • Final reminder: link expires within 24 hours. Held for quiet hours
  • Finish the interview: started, did not finish. Scheduled

ILLUSTRATIVE

01 Chasing reminders

Polite, predictable, and fully visible.

Off by default. When you switch it on, you see exactly who will be contacted and when.

Three kinds of nudge

A first reminder after the number of hours you choose (48 by default), a final reminder before the link expires, and optionally one nudge for people who started but did not finish.

Quiet hours

Nothing is sent at night in the time zone you choose. A final reminder that would land overnight is sent just before quiet hours instead of being lost.

Guardrails

Never anyone who finished, asked for a human interview, was revoked or expired. A maximum number of reminders, the daily email limit, and a failed send is not retried for six hours.

A preview you can trust

See each planned reminder with its reason and time. Send what is due now, or let the checks run every ten minutes.

Every send is logged

Each automatic reminder is in the audit log under “Coordinator”, with the candidate and the kind of reminder.

The same email you'd send

The same branded reminder a recruiter can send by hand, with the spam-folder note, from Critical AI's domain or your own mail server.

02 Interview scheduling

Let the people you want to meet pick a time.

From a candidate's report, offer interview times. They choose in their own time zone, and both sides get a calendar invite.

Your availability

Up to three weekly windows, a time zone, interview length (15 to 90 minutes), a gap between interviews, minimum notice, how far ahead to offer, blocked dates, a host name and meeting details.

Time zones done properly

Candidates see times in their own zone. Daylight saving is handled, so a 9 am slot stays 9 am for the host.

Calendar invites

The candidate gets a branded confirmation with a calendar file, and so does the host. Reschedule or cancel from the same link, and the other side is told.

No double booking

A booked time, and its gap, disappear for everyone else. Your team gets in-app notifications when someone books, moves or cancels.

A person stays in charge

Booking never changes a candidate's stage or decision. It only arranges a conversation.

EARLY ACCESS

Google & Microsoft calendars

Connect the host's calendar so offered times avoid real commitments and each interview lands on it, with an optional Meet or Teams link. Only busy times are read, never titles or attendees. If it can't be read, booking carries on from your windows.

CALENDAR CONNECTION: STATUS

Early access. The flow, including busy-time blocking and event creation and removal, has been tested against simulated Google and Microsoft services. We validate it against your real accounts with you before you rely on it, and your administrator registers the app with Google or Microsoft first. One calendar per workspace, so it suits a single interview host. You can disconnect at any time.

03 Impact dashboard

Your real numbers. Estimates that say they're estimates.

Pick 30 days to 12 months, then export to CSV or PDF.

  • Funnel: invited, opened, started, completed, decided by a person, advanced, with the rate at each step
  • Speed: median time from invitation to completed interview, share finished within 48 hours, interview length, time to a human decision
  • Candidate experience: average rating and the share rating 4 or 5
  • Trust signals: integrity flags, human-interview requests and Workday invitations, counted
  • By role: completion rate, average score, advanced, hours to decision

HOW SAVINGS ARE ESTIMATED

Your assumptions, printed on the page.

Hours saved = completed interviews × (minutes a manual first-round screen takes − minutes to review a Hive report). Value = hours × your hourly cost.

You set those numbers. The defaults are placeholders, not benchmarks. An ROI multiple appears only when you enter a plan cost, savings never go negative, and integrity flags are counted but never valued in dollars. We don't quote industry statistics.

04 FAQ

Scheduling and impact, answered.

Related: Workday integration and pricing.

Is the coordinator AI?

No. It is rule-based automation you control, and we don't dress it up as anything else. It sends the same reminder email a recruiter could send by hand, according to settings you choose. People still make every hiring decision.

Will it email candidates without us asking?

Not unless you switch it on. Automatic reminders are off by default. The page previews exactly who would get which reminder and when, and every automatic send is recorded in the audit log under “Coordinator”.

Who does it never contact?

People who have finished, asked for a human interview, been revoked, or whose link has expired. It also never sends during your quiet hours, stops at your maximum number of reminders, and respects the daily email limit.

Does Critical Hive read our calendar?

Only if an admin connects one, and then only whether you are busy: start and end times, never titles, attendees or notes. It adds one event per booked interview with no candidate email attached, so Google or Microsoft never emails the candidate. Without a connection, booking uses the availability windows you set.

Is the Google and Microsoft calendar connection live?

It is in early access. The full flow, including busy-time blocking, event creation and removal, has been tested against simulated Google and Microsoft services, and we validate it against your real accounts with you before you rely on it. It also needs your administrator to register the app with Google or Microsoft first. Connections can be disconnected at any time.

What if the calendar can't be read?

Booking never stops. Times fall back to your availability windows and the page says the calendar was not checked. If an event can't be created, the booking stands and your team is told to add it by hand.

Does booking change a candidate's stage or decision?

No. Booking only arranges a conversation. You decide who to interview and what happens next.

How are the dashboard's savings calculated?

Hours saved = completed interviews × (minutes a manual first-round screen takes − minutes to review a Critical Hive report). Value = those hours × the hourly cost. You set the assumptions, and the formula is printed on the page. The defaults are placeholders, not benchmarks, and an ROI multiple only appears when you enter a plan cost.

Do you put a dollar value on fraud prevented?

No. Integrity flags are counted, not valued. A flag is a signal for a person to review, not confirmed fraud, so putting a dollar amount on it would be invented.
